Instructions for receiving, verifying, and carrying out Data Cleanup with respect to data stored and processed on PangoCDP.

1. Introduction
This document describes the process for receiving and handling Data Deletion Requests relating to the services of the PangoCDP platform, developed and operated by ByteTech Co., Ltd.
PangoCDP is a Customer Data Platform (CDP) for enterprises that allows customers to store, manage, process, and synchronize data from a variety of data sources and platforms.
Because PangoCDP is a B2B platform for enterprises, the handling process may vary depending on:

- The type of data or resource for which processing is requested.

- The party submitting the request.

- Ownership or control of the data.
-
- The platform or system involved.
-
- The service contract and the scope of licensed functionality.

- The technical capability and applicable legal requirements.
PangoCDP distinguishes between two main categories of requests: requests from a customer/organization using PangoCDP, and requests from a third-party platform or an end user of that platform.
PangoCDP does not offer a single “delete all data” mechanism that applies identically to every case. The appropriate Data Cleanup process depends on data ownership and control, the scope of the customer’s authorization, the type of service used, the technical capability of the relevant systems, the policies of third-party platforms, contractual obligations, and applicable legal requirements.
2. Data Cleanup Requests From a Customer or Organization
A customer using PangoCDP may request that Data Cleanup be carried out on data and resources within the scope managed by its own organization.
2.1. Scope of the Request
A request may include, but is not limited to:

- Customer Data and Customer Profiles.

- Organization Data or Tenant Data.
-
- Connections and integration configuration.
-
- Access Tokens, Refresh Tokens, API Keys, or other authentication information.
-
- Tracking Data, Event Data, or tracking configuration.
-
- Custom Objects, schemas, segments, audiences, or workflows.
-
- User accounts and access rights.
-
- Other data or resources supported by PangoCDP.
- Other data or resources supported by PangoCDP.
2.2. How to Submit a Request
A customer may request Data Cleanup through:

- Features supported directly on the PangoCDP platform.
-
- The Account Management (AM) or Customer Success (CS) team responsible for the customer’s account.
-
- The process set out in the applicable service contract, appendix, or agreement.
- The process set out in the applicable service contract, appendix, or agreement.
2.3. Handling Process
ByteTech will receive, verify, and process the request within a reasonable time, based on the scope of the request, the type of data, the volume of data, legal requirements, the service contract, and the technical capability of the relevant systems or platforms.

Handling process for a Data Cleanup Request from a customer
Depending on the scope of the request, the Data Cleanup Process may include:

- Disabling active connections.

- Revoking, disabling, or deleting access tokens.
-
- Deleting customer data within the defined scope.
-
- Deleting or disabling tracking configuration.
-
- Deleting resources belonging to the organization or tenant.
-
- Disabling the customer’s or a user’s account.
-
- Carrying out other technical actions appropriate to the request and the system.

3. Data Deletion Requests From a Third-Party Platform
PangoCDP supports integration with Facebook, Instagram, TikTok, Zalo, Viber, Google, CRM systems, and other platforms or systems.
PangoCDP is not the party that owns or independently controls the data of end users on third-party platforms. PangoCDP stores and processes data according to the authorization and configuration set by the customer.
3.1. Requests From an End User
An end user of a third-party platform is not a direct customer of PangoCDP. An end user should therefore send a data deletion request to:

- The organization or business that collected and manages the user’s data.

- The corresponding third-party platform, if that platform provides a direct request mechanism.
The PangoCDP customer is responsible for receiving, verifying, and deciding the scope of processing for data under its own management. PangoCDP will only carry out Data Cleanup where there is a valid request and appropriate authorization from the customer or from an official mechanism of the third-party platform.
3.2. Requests Forwarded to PangoCDP
Upon receiving a valid request from a customer or through an official mechanism of a third-party platform, PangoCDP will carry out Data Cleanup within the scope that is:

- Authorized by the customer.

- Permitted by the third-party platform.
-
- Technically supported by PangoCDP.

- Consistent with the applicable contract, policies, and regulations.

3.3. Data Cleanup on a Third-Party Platform
PangoCDP may support deletion or cleanup actions directly on a third-party platform where all of the following conditions are met:

- The platform provides a suitable API or function.

- The customer has granted the necessary permission or authorization.
-
- The corresponding function is supported by PangoCDP.
-
- The request does not violate the platform’s policies or technical limitations.
The feasibility and processing time may depend on the API, policies, quota, approval status, and response time of the third-party platform.
4. Data Cleanup Upon Termination of Service or Contract
When a customer terminates its use of PangoCDP or its service contract ends, ByteTech will carry out the Data Cleanup process within the agreed scope and conditions.

Data Cleanup process upon termination of service
This process may include:

- Disabling the customer’s account.

- Disabling active integrations and connections.

- Revoking, disabling, or deleting tokens.
-
- Cleaning up the tenant’s data and resources.
-
- Deleting customer data within the applicable scope.
-
- Deleting or disabling the service configuration.
-
- Other technical actions in accordance with PangoCDP’s operational procedures.
- Other technical actions in accordance with PangoCDP’s operational procedures.
5. Data Retention and Exceptions
Some data may continue to be retained for as long as necessary where one or more of the following grounds apply:

- A legal obligation or the request of a competent authority.

- An obligation under the service contract.
-
- Security, audit, or incident-investigation requirements.
-
- Backup, recovery, or system-integrity procedures.
-
- Reasonable technical requirements to complete the Data Cleanup.
-
- A dispute, complaint, or obligation that has yet to be resolved.
Data retained in these cases will only be processed to the extent necessary and in accordance with the Privacy Policy, the applicable contract, and applicable regulations.
6. Evidence Document
After completing the Data Cleanup Process, ByteTech may provide the customer with a document confirming the data processing carried out, where appropriate or where required by contract.
The Evidence Document may include:

- The Organization ID or other organization identifying information.

- The scope of the Data Cleanup.

- The list of resources or data groups processed.
-
- The date of completion.
-
- The processing status.
-
- Any relevant notes or exceptions.
